Since its establishment in Brazil in 2018, all documentation was managed through spreadsheets, with deficiencies in revision control, information standardization, and proper approval flows. As the company grew and implemented quality and environmental management system standards, controls needed to be managed using document management, revision, and tracking tools to ensure greater control and security. 

Currently, an average of 250 documents are edited simultaneously, but the company has reached peaks of around 500 materials being edited at the same time, in addition to other company processes and procedures. In this context, the SoftExpert document module enables simultaneous management, review, and approval by different areas of the company. 

Another challenge for NAL do Brasil was handling the high volume of information and tracking the status of documents, including listing pending documents and follow-ups. The SoftExpert solution helped the company centralize all documents and processes in a single location, ensuring visibility and control.

Optimized solution across multiple processes

The SoftExpert cloud solution was implemented for NAL do Brasil’s 500 employees to update and manage multiple documents and processes that are part of the company’s daily operations. The SoftExpert platform allowed around 3,000 documents to be edited by employees from different departments, in record time. 

This practice increases work efficiency and optimizes employee time. Additionally, the SoftExpert document module ensures review, approval, and management of all necessary information. With a high flow of information and the need to track document status, the platform improves agility by managing pending documents and tracking approvals. It also facilitates the certification of suppliers. 

The SoftExpert Suite, combined with the AWS cloud environment, was essential to the project's success, enabling access to a robust, secure, and efficient technological infrastructure without requiring investments in servers, databases, or operating systems, as would be needed in a traditional IT architecture. In addition to providing higher reliability and service availability, the infrastructure management becomes simpler, reducing operational costs for the company. Another key advantage highlighted by NAL do Brasil's team is the multi-language capability of the SoftExpert tool, which is crucial as the company is the Latin American branch of Japan-based Koito.

NAL do Brasil already holds certifications such as IATF 16949, ISO 9000, and ISO 14000, and SoftExpert’s tool helps ensure these standards are maintained.
