Randon Consórcios needed a solution to streamline communication and facilitate access to and management of information, avoiding the need to print and distribute documents at workstations, while also meeting the requirements of ISO 9001 certification.

The Solution: Implementing Tools for Process Optimization and Regulatory Compliance

After an evaluation process considering the strict regulatory requirements of ISO, Randon Consórcios adopted the SoftExpert Action Plan and Document tools, modules of the SoftExpert Excellence Suite, a corporate solutions platform for management excellence, process improvement, and regulatory compliance.

SoftExpert Action Plan helps organizations optimize the lifecycle of their action plans, from initial registration to approval, maintaining team communication and enhancing collaboration through centralized control of planning, execution, and task monitoring.

SoftExpert Document is an electronic document management solution that oversees the entire content lifecycle, from creation to archiving or disposal.

The SoftExpert Action Plan and SoftExpert Document solutions, combined with AWS's cloud environment, were crucial to the project's success. AWS S3 was used for object storage, offering versioning and exceptional durability, and Elastic Search Service enabled efficient indexing and full-text searches. They enabled access to a robust, secure, and efficient technological architecture without requiring investment in servers, databases, and operating systems, as would be necessary in a traditional IT architecture.

Results: Enhanced Efficiency, Communication, and Compliance

With the SoftExpert Excellence Suite, Randon Consórcios increased process efficiency and operational control. The company improved organizational practices using the tool, streamlining communication and information management while meeting ISO 9001 certification requirements.

Gabriela Ricardo dos Reis, from the company’s Quality department, highlights that the ease of task control and management allows for deadline monitoring and process execution tracking.

“All employees have electronic access to documents and procedures, which facilitates information access. This eliminates the need for printing and distributing documents at workstations. With each revision, the system sends notifications to users, ensuring quick communication and dissemination of changes,” Gabriela explains.

Using the tool, the Quality department can quickly verify the status of actions through reports. Regarding document management, the SoftExpert Excellence Suite provides control over any modifications, preventing rework and increasing process efficiency.

According to Gabriela, the SoftExpert Action Plan and Document modules are aligned with ISO 9001 certification requirements, allowing Randon Consórcios employees to use the system without relying on parallel controls.

“Since all employees have electronic access to the system, they can easily access documents, procedures, and process-related information. The ease of control and report generation enables quick and agile access to data, action plans, and documents, with a user-friendly dashboard that simplifies presentations to auditors,” she concludes.
